Special Events Package

Planning and Design

  • Personalized planning consultations as per your customized special event proposal, including on-site, in studio, phone, e-mail and text communication.
  • Event theme, color and design creation reflecting your personal style and taste.
  • Provide a customized list of venues within designated area, style and budget. Participation in site visits.
  • Establish priorities while creating a customized budget and cost analysis. Includes personal budget spreadsheet and management of budget.
  • Design details coordinated throughout the entire event, including location, invitations, wording, printed materials, signage, décor, cuisine and any other particulars.
  • Conduct vendor searches including caterer, photographer, videographer, décor, floral, rentals, lighting, entertainment, audio/visual, cake, invitations, transportation, valet parking, etc.

Preparation

  • Assemble and mail out custom invitations with RSVP management.
  • Assistance with menu design and menu tasting with caterer or venue.
  • Assistance with selection of party favors to coordinate with theme of event.
  • Site inspections and coordinated meetings with vendors.
  • Assist with necessary permits and obtain insurance certificates if required by venue.
  • Assist with event floor plan of your event.
  • Assist with placing orders for any rental items needed such as specialty linens, chairs, tabletop items including specialty stemware, chargers, dance floor, lounge furniture, draping, etc.
  • Create detailed schedule for the day of event as well as personalized checklists and reminders.
  • Create vendor list with contact information, setup and strike times and distribute to all necessary parties.
  • Distribute production timeline for vendors including driving directions and maps.
  • Send final confirmations to vendors by e-mail and phone (1 week prior) .
  • Convey final head count to appropriate parties.

Day of Special Event

  • Included onsite at your event is one Professional Event Manager and additional Coordinator Assistants.
  • Managing the timing and activities of your special event with the guests of honor, family members, venue and all vendors is one of our main priorities.
  • Final inspections of setup, seating placements and count, table place cards, and any décor details.
  • Greet guests and assist with seating arrangements while attending to guests needing special assistance.
  • Distribute final payments and gratuities in sealed marked envelopes to appropriate people.
  • Orchestrate and ensure all gifts and personal items are transported to where they will be safe.
